What is shadow AI?
Shadow AI is AI tools your team is using at work without it being approved, tracked, or covered by any policy, most commonly ChatGPT, Copilot, or similar tools used to draft emails, summarise documents, or speed up reports.
It’s rarely malicious; people are usually just trying to get work done faster.
The risk is that nobody has agreed on what’s safe to put into those tools, so client details, financial figures, or draft contracts can end up outside your control without anyone deciding that was okay.
Is it safe to use ChatGPT for work?
It depends on what you put into it and which version you’re on. Free, consumer ChatGPT accounts can use what you type to train future models unless that’s been turned off in settings, so anything client-identifiable shouldn’t go in.
Paid business or enterprise tiers handle data differently, but “safe” still comes down to having a clear policy on what’s allowed, not just which product you’re using.
What should I include in a AI policy
At minimum: what’s allowed in an AI tool and what isn’t (client names, financial data, anything under an NDA), which tools are approved for use, who to tell if something goes wrong, and how outputs are checked before they reach a client.
It doesn’t need to be long. It needs to be something your team will actually read and follow, not a document that sits in a drawer.
